Terms of Service

📅 Effective: March 2026< 🔄 Last Updated: March 2026 📋 Version 1.0

Plain English Summary: GovBot is a free Discord bot for running mock governments. By adding it to your server or using it as a citizen, you agree to these terms. Don't abuse it, don't use it for anything harmful, and understand it's provided as-is.

Section 1

Acceptance of Terms

By adding GovBot to a Discord server, using its slash commands, or accessing the GovBot web dashboard, you ("User") agree to be bound by these Terms of Service ("Terms"). If you are adding GovBot on behalf of a Discord server, you represent that you have the authority to do so and that your server's members will be subject to these Terms.

If you do not agree to these Terms, do not add GovBot to your server or use any of its features.

Section 2

Description of Service

GovBot is a Discord bot designed to facilitate mock-government roleplay communities ("Servers"). It provides tools including:

GovBot is intended solely for fictional, recreational, and educational mock-government roleplay. It is not affiliated with any real government, political party, or political organisation.

Section 3

Eligibility

You must comply with Discord's own Terms of Service and Community Guidelines to use GovBot. Use of GovBot constitutes your agreement that you meet Discord's age requirements and are not prohibited from using Discord's services.

Section 4

Server Administrator Responsibilities

Server administrators who add GovBot are responsible for:

Section 5

Acceptable Use

You agree not to use GovBot to:

Important: GovBot is a roleplay tool. Court cases, elections, impeachments, and treasury balances within the bot are fictional game mechanics. No outcome within GovBot — including treasury transactions — has any legal, financial, political, or real-world significance. In-simulation currency has no monetary value.

Section 6

Dashboard and OAuth2 Authentication

The GovBot web dashboard uses Discord's OAuth2 system to authenticate users. By logging in to the dashboard you authorise GovBot to read your Discord user ID, username, avatar, and the list of servers you are a member of. This information is used only to display your profile and to filter the dashboard to servers you have access to.

Dashboard sessions are stored temporarily and expire after 24 hours of inactivity. You can revoke GovBot's OAuth2 access at any time from your Discord account's Authorized Apps settings.

Section 7

DM Reminders

The /remind set command allows you to opt in to receiving a direct message from GovBot before an election closes. By using this command you explicitly consent to receiving that single DM. You can cancel any reminder with /remind cancel, and GovBot will never send unsolicited DMs.

Section 8

Intellectual Property

GovBot's source code, design, and documentation are the property of the developer. The bot is made available as a hosted service for mock-government communities. You may not copy, redistribute, or commercialise GovBot's hosted service or its codebase without express written permission.

Content submitted through GovBot (bill text, platform statements, court rulings, constitutional articles, etc.) remains the property of the users who submitted it. By submitting content, you grant GovBot a limited licence to store and display that content within the context of your server's government simulation.

Section 9

Service Availability and Modifications

GovBot is provided free of charge on a best-effort basis. We do not guarantee continuous, uninterrupted availability of the service. We reserve the right to:

We will make reasonable efforts to provide advance notice of significant changes or planned downtime.

Section 10

Disclaimer of Warranties

GovBot is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that the bot will be error-free, that data will never be lost, or that the service will meet your specific requirements.

We are not responsible for any disputes, disagreements, or conflicts that arise within your Discord server as a result of using GovBot's features. The outcomes of elections, trials, and votes within GovBot are simulation mechanics — they carry no authority or obligation beyond what your server's community chooses to assign them.

Section 11

Limitation of Liability

To the maximum extent permitted by applicable law, the developer of GovBot shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the service, including but not limited to loss of data, loss of community, or server disruption.

Section 12

Contact

GovBot is operated as a low-contact service. General inquiries, support requests, or casual communication may not receive a response.

We do not provide active support or guarantee replies. However, we may review and take action on messages where required, including reports of abuse, legal concerns, or violations of these Terms.

Privacy Policy

📅 Effective: March 2026< 🔄 Last Updated: March 2026 📋 Version 1.0

Plain English Summary: GovBot stores the minimum data needed to run your mock government — Discord user IDs, server IDs, and the content you create (bills, votes, party names, etc.). We don't sell your data, don't run ads, and you can request deletion at any time.

Section 1

Who We Are

GovBot is a Discord bot developed and operated as an independent project. This Privacy Policy explains what data GovBot collects, how it is used, and your rights regarding that data. By using GovBot you agree to this policy.

Section 2

Data We Collect

GovBot stores only the data that is necessary to operate its government simulation features. We do not collect names, email addresses, IP addresses, or any data beyond what Discord provides during normal bot interactions.

Data Type What it is Why we store it
Discord User ID Your unique Discord user identifier (a number) To associate citizens, votes, bills, cases, and other government actions with a user
Discord Server ID Your server's unique Discord identifier To separate each server's government data and configuration
Government Content Bill text, platform statements, court rulings, constitutional articles, party descriptions, initiative text, charges, etc. To operate the government simulation — this is content you voluntarily submit
Vote Records The fact that you voted, and your choice (for bills, elections, referendums, etc.) To prevent double-voting and to tally results accurately
Treasury & Wallet Balances Your in-simulation wallet balance and a log of transactions you are involved in (amounts, descriptions, who authorized them) To operate the fictional treasury system — balances and transactions have no real-world monetary value
Activity Log A record of government actions (who proposed a bill, who filed a case, etc.) To provide transparency and an audit trail within the server
Admin Audit Log A record of administrative actions taken by server admins (dismissals, announcements, data changes) To provide accountability for administrative actions within the server
Dashboard Session A temporary session token after OAuth2 login; your Discord username and avatar URL To keep you authenticated on the dashboard for up to 24 hours
Reminder Preferences Your user ID, election ID, and requested reminder time To send you a DM reminder only if you explicitly opted in with /remind set
Section 3

Data We Do Not Collect

GovBot does not collect, store, or process:

Section 4

How We Use Your Data

All data collected by GovBot is used exclusively to operate the government simulation features within your Discord server. Specifically:

We do not use your data for advertising, profiling, sale to third parties, or any purpose outside of operating GovBot's stated features.

Section 5

Data Storage and Security

GovBot stores all server data in a SQLite database hosted on the same server as the bot. Data is not shared across servers — each server's government data is fully isolated and only accessible to members of that server through the bot's commands and dashboard.

Dashboard authentication uses Discord's official OAuth2 system. We do not store your Discord password or token. Session data is stored server-side and expires automatically.

While we take reasonable precautions to protect stored data, no system is perfectly secure. We cannot guarantee absolute protection against unauthorised access.

Section 6

Data Sharing and Third Parties

GovBot does not sell, rent, or share your data with third parties. The only external service involved is Discord, through whose platform all interactions take place. Discord's own Privacy Policy governs the data Discord collects about you.

GovBot's dashboard is served as a standalone web application. It does not load any third-party advertising, tracking scripts, or analytics services.

Section 7

Data Retention

GovBot retains server data for as long as the bot remains in your server. Specific retention rules:

Data Retention
Server configuration & government data Retained while GovBot is in the server; deleted on request after removal
Closed elections, passed laws, concluded cases Retained indefinitely as a historical record unless deletion is requested
Treasury balances & transaction history Retained while GovBot is in the server; deleted on request. Wallet balances reset to zero if a citizen is de-registered
Dashboard session tokens Expire automatically after 24 hours of inactivity
Sent reminder records Marked as sent and retained briefly for deduplication, then ignored
Activity logs Retained as part of the server's government history; the most recent 50 entries are displayed
Section 8

Your Rights

You have the following rights regarding your data stored by GovBot:

Note for EU/EEA residents: If you are located in the European Economic Area, you may have additional rights under the General Data Protection Regulation (GDPR), including the right to data portability and to lodge a complaint with your local supervisory authority. Please contact us to exercise these rights.

Section 9

Children's Privacy

GovBot does not knowingly collect data from users under the age of 13, or under the applicable minimum age in their jurisdiction. GovBot operates within Discord, and access requires compliance with Discord's own age requirements. If you believe a minor's data has been collected, please contact us immediately.

Section 10

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this document and announce significant changes through our support server. Continued use of GovBot after changes are posted constitutes your acceptance of the updated policy.

Section 11

Contact & Data Requests

GovBot operates on a minimal-contact basis. We do not guarantee responses to general inquiries or routine requests.

Where required by applicable law (including GDPR), we will review and process valid data-related requests submitted through the contact address below.
